We are looking for a new team member to join our back-office team in the area of tender and proposal management. You’ll work in a well-coordinated team where your organizational skills and attention to detail will directly influence how successfully our proposals are received by clients. As an Office Administrator in Tender Management, you’ll play a central role in the tender and proposal process: You’ll coordinate, review, and document everything needed to ensure our proposals reach clients on time, complete, and compelling.

Your Mission

You will ensure that our bidding process runs smoothly and reliably. From reviewing incoming bids and assisting with cost estimates to submitting complete bid documents, you will be responsible for the administrative aspects of our sales operations. In doing so, you will maintain communication with clients and internal teams.

Your Responsibilities & Tasks

  • Analyse incoming tenders and evaluate their requirements and scope
  • Assist with pricing, calculations, and the assembly of bid packages
  • Manage submission deadlines and ensure all documents are complete before dispatch
  • Handle post-submission follow-ups and track bid outcomes
  • Record and maintain accurate data across the ERP system
  • Act as point of contact for tender-related queries from customers and Sales
  • Audit and maintain the library of employee profiles used in bids
  • Produce customised profiles matching specific tender requirements
Required Qualifications
  • Completed commercial training or an equivalent qualification
  • Professional experience in back office or sales administration, ideally in I
  • Confident, day-to-day proficiency in MS Office
  • Business-fluent German, written and spoken
  • Strong organisational skills and a high level of attention to detail
  • Clear and confident communication skills
  • Independent, structured, and reliable working style
  • Ability to manage multiple deadlines without losing accuracy
Preferred Qualifications
  • Experience working with CRM or ERP systems
  • Background in IT services, managed services, or technology consulting
  • Working knowledge of tender and procurement processes
  • Good English skills, both written and spoken
  • Familiarity with document management or digital workflow tool
  • Experience maintaining or creating professional profiles for bids
  • Ability to adapt quickly to new tools and digital processes
